Our mailroom acts as a central point for receiving postal (letter) and electronic documents. Please read the information below for opening hours, filing methods and requirements to make your filing process as smooth and efficient as possible.

General Information

In the case that the delivered document is incomplete, damaged or unreadable (or otherwise damaged) and it is possible to identify the sender and his contact details, such sender will be notified of the error and a further procedure will be established to eliminate such error. If the defect cannot be removed or if the sender of the document and his contact details cannot be identified, such document shall not be processed further.

Postal (Letter) Submissions

Electronic Submission

Electronic submissions can be made by the following means:

  • On data medium-CD, DVD, USB flash drive (data medium can be returned on direct request)
  • Electronic address of the mailroom (e-mail) – podatelna@kkpce.cz, dotazy@kkpce.cz
  • Electronic address of the Data Box – smy2css
Size restrictions on email and data messages
  • Receipt of an e-mail message is limited by the size of its attachment, the sum of all attachments within one e-mail message must not exceed 20 MB.
  • The message sent in the Data Box system is limited by the size of the attachment, the sum of all attachments within one data message must not exceed 20 MB.
Accepted email and data message attachment formats
  • PDF (version 1.7 and up, PDF/A),
  • text formats TXT, RTF,
  • common office formats DOC, DOCX, XLS, XLSX, ODF (ODT, ODS),
  • PNG, TIF/TIFF, JPG/JPEG/JFIF.

If you need to send a format that is not listed here, you need to contact the library in advance and agree on the format of the data to be sent.

Requirements for the delivery of messages

If multiple electronic documents are part of a single submission, it must be clear which document is the actual submission and which documents are electronic attachments to that submission. Where individual submissions are part of a larger whole, such messages must be marked to make such continuity unambiguous.

Message security

If the message cannot be displayed in a user-readable manner (i.e. the message is unreadable) and contains an incorrect data format or contains computer code that is capable of causing damage or otherwise compromising the functionality of the computer system, the message shall be deleted. If the message was illegible (e.g. corrupted message format) and can be sent, it shall be discarded.

Confirmation of message delivery

The e-mail system, as well as the Data Box system, can send back automatic information about the delivery of the message. In the case of an e-mail message, such confirmation may be suppressed by the current mail server settings or otherwise suppressed during transmission, therefore the recipient is not responsible for such information. In the case of a Data Box system, such an inappropriate setting and technical problem is not expected but cannot be ruled out, so the library is not liable for the sending of such a notification here either.

Incompleteness of the received message

A message confirming the delivery of a message, whether by Data Box or e-mail, is not an acknowledgement of the fulfilment of the filing requirement under other legislation. If the message is found to be deficient in this respect, or if it suffers from other defects that can be remedied, the submitter shall be invited to remedy them and shall be given a reasonable period of time to do so.
